The problem

Chapter accounting is usually a spreadsheet nobody trusts

Most fraternity treasurers do their accounting after the fact: dues arrive through Venmo, Zelle, cash, and a billing platform, then someone re-keys it all into a spreadsheet or QuickBooks at the end of the month. Receipts live in group chats, reimbursements go out before they are recorded, and the books drift from the bank balance. At officer turnover the next treasurer inherits a file they did not build and a Form 990 deadline nobody mentioned.

With Dueflow

Books that are built from the payments, not reconstructed from them

Dueflow records every chapter transaction at the moment it happens – dues, payment plans, reimbursements, store and event sales, and chapter billing – so the ledger is the source of truth instead of a copy of one. Connect QuickBooks Online once and post each completed payout as a deposit split by income category with fees as an expense line, tying to the bank statement to the penny. The same ledger produces the gross-receipts and revenue-line workpapers a Form 990 needs, and exports to Excel or CSV for an advisor or CPA.

  • One chapter ledger

Dues, reimbursements, store sales, donations, and chapter billing are recorded as they happen, with the member, date, and category attached – no re-keying.

  • QuickBooks Online sync

Authorize QuickBooks Online in one OAuth step and map your chart of accounts once. Officers then post completed payouts as categorized deposits that match the bank deposit exactly.

  • Reimbursements with receipts

Members submit expenses with receipts; treasurers approve, reject, or pay. Every action is logged, so the expense side of the books is as clean as the income side.

  • Form 990 workpapers

Deadline tracking by your chapter's fiscal year, exemption-status monitoring, and gross-receipts and revenue-line workpapers built from the ledger for your 990-N, 990-EZ, or full 990.

  • Excel, CSV, and QuickBooks exports

Export the full transaction history for an advisor, a CPA, or nationals reporting – clean records that survive officer transitions.

  • Audit trail on every entry

Who recorded it, who approved it, when it was paid, and which QuickBooks deposit it synced to. Exactly what an advisor or alumni board asks to see.

  • AI finance assistant

Ask plain-English questions about outstanding dues, collection rates, and spending trends and get answers from your chapter's own records.

  • Chapter and nationals views

National organizations see per-chapter financials, cross-chapter analytics, and consolidated reporting from the same ledger – at no cost.
